Executive Assistant / Office Manager

We are currently seeking candidates for the position of Executive Administrative Assistant / Office Manager.  Reporting to the Chief Administrative Officer, we are seeking a motivated and dynamic professional with exceptional organizational skills to take on administrative support of our CEO and Leadership Team, as well as general office management.  This individual will directly support members of the management team and indirectly support an additional Vice Presidents as needed.


  • Calendar management / Travel Coordination: Schedule all appointments and travel; add appropriate travel arrangements and related meetings to appropriate calendars; ensure travel arrangements and prepare itineraries for the Executives; anticipate, monitor and manage schedule conflict.
  • Event Planning: Proactively planning, organizing and executing events and activities, including food and facility preparation, agenda preparation, as well as recording and publishing minutes as requested.
  • Board/Member Relations: Prepare, copy and assemble meeting materials for Board of Directors, Board and Member Committees, and other company sponsored events/meetings often using PowerPoint, graphics and spreadsheets, with an acute attention to detail.
  • Office Management: Manages and maintains the office, including supplies, equipment and facility maintenance as well as overall facility appearance.
  • Act as an internal gatekeeper often interfacing with high profile contacts on behalf of the leadership team (may include answering/screening phone calls and or email correspondence and arranging conference calls).
  • Greeting scheduled visitors and ensuring a good experience.
  • Maintain highly confidential information and files, including compensation and intellectual property
  • Oversee internal administrative duties such as processing invoices, budgets and expense reports, material creation and copies.
  • Complete ad hoc projects / assignments as needed, including possible analysis work, often utilizing PowerPoint and Excel.


  • Bachelor’s degree preferred; High School Diploma or GED equivalent required;
  • 3+ years of administrative experience supporting a high level senior executives in a demanding, fast paced environment;
  • Must have a strong working knowledge of Microsoft Office Suite (Word, Power Point, Excel, and Outlook) as well as the proven ability to prepare executive level presentations, memos, and general correspondence;
  • Proven experience in providing excellent customer service experience and working with confidential information is a must;
  • Must be able to work the hours of 8:00 AM to 5:00 PM and be prepared to work during non-business hours and weekends if needed.
